01 A Day on the Project

A project that runs on WhatsApp, spreadsheets and paper

No project is lost to one big mistake. It's lost to a hundred small decisions that were never written down anywhere, and that nobody could find again afterwards. What follows is one ordinary day on that project.

The symptoms you see every week

Group chatsDecisions get buried under messages
SpreadsheetsEveryone is holding a different version
Paper and site logbooksNobody reads them until month-end
Voice notes and callsThey are never searchable, ever
02 One Question, Five Answers

The same number is different in five places

Ask one simple question and count the answers you get. None of these five people are lying — each one holds a piece of the truth, and there is nowhere those pieces sit side by side.

Today's purchase order gets placed against one of these five numbers — and nobody knows which one.

One ordinary day, 7 AM to 9 PM

None of this is a crisis. The problem is that it repeats every single day.

  1. 07:10The site starts upThree calls back to back: who is where today, and what was supposed to arrive.
  2. 10:30Simple question, hard answerGetting one stock number takes half an hour and still ends in "roughly".
  3. 13:45A decision in the stairwellAgreed standing up, sealed with a handshake, written down nowhere.
  4. 17:20The invoice is missingA photo of it is somewhere between a phone gallery and three group chats.
  5. 21:00Evening, pulling it all togetherNumbers get copied from five places into one spreadsheet — already stale by morning.

We're tying Block B's foundation with 16mm rebar, not 18.

Sorry — did Block B end up as 16 or 18?

The decision was made — it just can't be found

The real decision was made in the middle of a busy group chat and was buried five minutes later under photos, voice notes and "got it". Two weeks on, when the question comes up again, nobody wants to scroll — so the decision gets made a second time, differently.

The invoice exists — just not anywhere you can find it

The invoice isn't really lost. A photo of it is in someone's phone gallery, the original is in a site binder, and the amount is in a different spreadsheet. Until those three are connected, "finding the invoice" means calling three people.

Nobody ever told me that.

No message, no confirmation, no date.

Assigned verbally, denied verbally

The job was handed over in a corridor and both sides are certain they're right. Without a simple trace of who accepted what, and when, this argument has no winner — only a week of delay.

The cost happens weeks before anyone sees it

The money went out on day three and surfaced on day twenty-six. In that gap, the same mistake was repeated twice more. The problem isn't a missing number — it's the distance between the event and seeing it.

By then, the same purchase had already been repeated twice.

The small things that pile up

None of them is worth worrying about on its own. Together, they eat a working week.

Every time someone takes leave, half the project's knowledge goes on leave with them.

Nobody knows for certain who is holding the latest version of the spreadsheet.

The same material gets ordered twice because nobody knew about the first order.

A contractor says a payment is overdue; showing otherwise takes half a day.

The meeting happens, and a week later nobody remembers what was actually settled.

Work that's done and work that's forgotten look identical: silence.

03 The Cost of the Scattering

Scattered information costs you quietly

The problem on most construction projects isn't a lack of information — it's that information is scattered, with no single place to see it all. That scattering shows up exactly where you least expect it.

Every dayHours go into chasing people and waiting for answers instead of moving the work forward.
Twice overThe same material sometimes gets ordered more than once — duplicate purchases, waste and extra spend.
Too lateExtra cost is usually spotted only after the window to do anything about it has closed.
Two storiesWith no record of approvals and agreements, responsibility shifts around whenever something goes wrong.

These are patterns that are common across construction projects, not measured results from Yeksaz.

All four problems share one root None of this comes from carelessness. It all comes from one thing: project information lives somewhere you can't search, can't point to as proof, and can't tell how current it is.
